Terms & Conditions
These terms explain the basis on which Online Patches provides custom patch design, artwork preparation and patch production services.
Please read these terms alongside your quotation, order confirmation and any project-specific agreement before placing an order. Your order documentation should identify the services, patch specifications, quantities, fees and applicable delivery arrangements.
Nothing in these terms limits your statutory rights.
1. Our Commitment to Customers
Online Patches provides custom patch services for customers ordering embroidered patches and related products. Our role is to produce the work agreed for your order while respecting your artwork, specifications and purchasing decisions.
- Your original artwork remains yours. You retain ownership of original logos, illustrations, lettering and other materials you provide, subject to any separate rights held by third parties.
- You remain responsible for your artwork rights. You must have the necessary permission to reproduce logos, images, trademarks, artwork or other protected materials supplied for your order.
- Order details are agreed before production. Your quotation or order confirmation should identify the agreed patch type, quantity, size, backing, design requirements and price.
- Additional work requires approval. Changes to artwork, quantity or specifications after the agreed scope may affect the price or production schedule and should be confirmed before proceeding.
- Production outcomes depend on the approved specifications. No guarantee can be made about commercial results, increased sales, brand recognition or other business outcomes from using custom patches.
2. Customer Artwork, Copyright & Permissions
You must own, or have permission to use, the logos, images, illustrations, lettering and other materials you provide for your patch order.
This includes permission to reproduce the artwork as an embroidered patch and, where applicable, to make reasonable production-related adaptations such as resizing or converting artwork into a suitable embroidery format.
You are responsible for identifying any material that requires permission from a copyright owner, trademark owner or other rights holder and obtaining the relevant authorisation before production.
By ordering our services, you grant us a limited, non-exclusive permission to use the materials you provide solely for the purpose of completing the agreed order.
This permission does not transfer ownership of your original artwork to us.
Any third-party fonts, graphics, images or other licensed materials remain subject to the terms of their applicable licences.
3. Artwork Preparation & Design Changes
Artwork supplied by a customer may need adjustments before it can be used for embroidery.
Depending on the design, this may include changes relating to:
- Fine lines and small details
- Small lettering
- Colour separation
- Stitch coverage
- Borders
- Proportions
- Patch dimensions
- Simplification of complex artwork
Where design preparation or artwork changes are included in your order, the agreed scope should identify what is covered.
If you request substantial changes after artwork approval, those changes may require additional work and may affect the order schedule or price.
We will seek your approval before proceeding with additional chargeable work where applicable.
4. Patch Specifications & Approval
Before production, customers should review the important specifications included in their order.
These may include:
- Patch dimensions
- Patch shape
- Artwork and lettering
- Thread colours
- Border treatment
- Embroidery details
- Backing type
- Quantity
- Intended application
- Other agreed finishing requirements
You are responsible for checking the approved design and specifications for accuracy.
Particular attention should be given to names, spelling, numbers, logos, colours and other information that needs to appear correctly on the finished patch.
Once the relevant design or specifications have been approved, later changes may affect the production schedule or result in additional costs.
5. Payments, Orders & Cancellation
Custom patch orders are quoted according to the agreed specifications and services.
Your quotation or order confirmation should identify the applicable price, payment requirements, quantity and any other charges relevant to the order.
Production begins only after the required order approval and payment conditions have been satisfied.
To request cancellation, contact us using the verified customer service details provided with your order.
Any refund will be considered according to the work already completed, your order agreement and applicable law.
Where custom artwork, preparation or production has already begun, cancellation may be subject to the applicable terms and statutory rights.
If you are purchasing as a consumer, applicable UK consumer protection and cancellation rights take priority where they apply.
Any request to begin custom work during an applicable cancellation period, and the potential effect on cancellation rights, should be explained before work begins.
Changes to quantity, artwork, size, backing or other agreed specifications may affect the final price and production schedule.
6. Production, Quality & Delivery
We will carry out the agreed services with reasonable care and skill.
Custom embroidery involves a physical production process, so the finished patch may have minor characteristics associated with embroidery, thread and fabric-based production.
Where applicable, production should follow the approved artwork and specifications agreed for the order.
Customers should inspect their patches after delivery and contact us promptly if they believe the products do not correspond with the agreed order or have arrived with an issue.
Any complaint should include the relevant order details and, where useful, photographs showing the issue so it can be assessed.
Delivery dates and shipping times may depend on production requirements, order quantity, destination and the carrier used.
We cannot guarantee carrier schedules or circumstances outside our reasonable control.
7. Customer Responsibility
Customers are responsible for providing accurate information for their order.
This includes:
- Correct names and lettering
- Accurate logos and artwork
- Correct quantities
- Appropriate dimensions
- Delivery information
- Required backing preferences
- Any relevant application requirements
Customers should also make sure that the selected patch type and backing are appropriate for the intended garment or item.
Where guidance is provided, customers remain responsible for confirming that the selected product is suitable for their specific application unless otherwise agreed.
8. Intellectual Property & Finished Designs
Your original artwork remains subject to the ownership rights applicable to that artwork.
Where a new design is created as part of your order, the ownership, usage and delivery terms should be identified in the relevant quotation or project agreement.
Third-party assets incorporated into a design remain subject to the rights and licences belonging to their respective owners.
You should not assume that purchasing a physical patch automatically transfers ownership of third-party artwork, logos, fonts or other intellectual property.
If your order involves a business logo, trademark or branded artwork, you are responsible for ensuring that you have the right to use it.
9. Orders for Businesses, Clubs & Organisations
Businesses, clothing brands, sports teams, clubs, organisations and other groups may place orders for branded or customised patches.
The person placing the order is responsible for confirming that they have authority to use the supplied branding and approve the order specifications.
For larger or repeat orders, the quotation or order agreement should identify the agreed quantity, specifications, price, production requirements and delivery arrangements.
If different patch designs are required within the same order, each design and quantity should be clearly identified before production.
10. Problems With an Order
If you believe your order does not match the agreed specifications, contact us with your order reference and a clear description of the issue.
Where appropriate, provide photographs or other information that allows the issue to be assessed.
We will review the concern against the approved artwork, order specifications and applicable agreement before discussing an appropriate remedy.
Nothing in these terms removes any statutory rights you may have under applicable UK law.
11. Circumstances Outside Our Control
Production or delivery may occasionally be affected by circumstances outside our reasonable control.
These may include carrier disruption, supplier delays, equipment problems, unexpected production issues, severe weather, government restrictions or other events that could not reasonably be prevented.
Where a significant delay occurs, we will communicate relevant information and discuss the available next steps where reasonably possible.
12. Governing Law & Enquiries
These terms and the services provided under them are governed by the laws applicable to the business and the relevant customer transaction, subject to any mandatory consumer protections that apply.
If you have a question, complaint or concern about an order, please contact us first so we can review the matter and seek an appropriate resolution.
